Overview

The [Settings] menu consists of options for configuring key policies and file management options that apply across the organization. This guide explains the functionality and usage of each item.


[Settings] Menu Configuration

The [Settings] menu is divided into two main tabs:

  1. Settings
  2. File Management

1. Enable Settings

1.1 Shared Folder Owner Policy Individual Settings

  • DescriptionThis is a feature that sets whether to synchronize the storage policy of the shared drive and the Owner policy of the shared folder.
  • Option:
    • useYou can set the Owner policy of the folder individually, without being synchronized with the storage policy of the shared folder.
    • Not in useYou cannot individually set the Owner policy of the folder, as it is synchronized with the storage policy of the shared folder.
  • Usage example:
    • If you need to apply a separate policy for a specific shared folder, you can enable the setting to establish an independent policy.

1.2 Inviting External Users to the Shared Folder

  • DescriptionThis is a feature that allows inviting users from outside the organization to use sharing.
  • Option:
    • useAllows inviting external users.
    • Not in use: Restrict invitations to external users.
  • Caution:
    • Inviting external users may be restricted according to the organization's security policy.

2. File Management

2.1 Personal File Deletion Cycle

  • DescriptionSet the deletion cycle for files uploaded to personal storage.
  • Option:
    • Deletion cycleSelect between creation date/modification date, and enter a number of '1' or higher for the frequency.
    • Deletion methodSelect to move to the trash or permanently delete.
    • Usage example:
      • To maintain efficient storage space management and security, unnecessary files are periodically deleted.

2.2 Registering Blocked File Extensions

  • DescriptionThis is a feature that blocks the upload of files with specific extensions.
  • How to use:
    1. Enter the extensions to be blocked in the list of extensions to block.
    2. Click the "Add" button to add an extension.
    3. Click the "Save" button to apply the settings.
  • Caution:
    • Blocked extensions cannot be uploaded by any user.
    • Please be careful not to block essential file extensions.

Key Points Administrators Should Know

  1. All configuration values are applied organization-wide.
  2. Changes to the settings will take effect immediately for all users.
  3. The external user invitation and file management policy is used to enhance security and data management efficiency.
