Video Conference User Guide
The SHIELD Gate Teams app supports all video conferencing features of Teams. You can safely conduct video conferences in the RBI environment.
1. Starting a Video Conference
1.1 Meeting Participation
- Click the meeting link in Teams chat or channel.
- ParticipationClick the button.
- When the camera and microphone permission request is displayedAllowedSelect.
- The meeting screen will be displayed.
1.2 Start of Meeting
- In Teams chatStart CallClick the icon.
- Select video call or voice call.
- The meeting will start when participants are added.
2. Video Conferencing Features
2.1 Camera Control
- Turning the Camera On/Off: Click the camera icon on the bottom control panel
- Camera Switch: Selectable in settings when multiple cameras are available.
- Background Effects: Basic background effects available in Teams
2.2 Microphone Control
- Mute/Unmute: Click the microphone icon on the bottom control panel
- Selecting a Microphone: Selectable in settings when multiple microphones are available
2.3 Screen Sharing
Screen sharing works normally in the RBI environment as well.

- Select the screen or window to share:
- Full Screen: Full Desktop Screen Sharing
- window: Share only a specific application window
- tab: Share only a specific browser tab
- ShareClick the button.
- To stop sharingStop SharingClick the button.
2.4 Picture-in-Picture (PIP) Mode
Supports PIP mode, allowing you to perform other tasks during a meeting.
- Click the PIP icon on the meeting screen.
- The meeting screen will switch to a small window.
- You can continue the meeting while using other applications.
- Clicking the PIP window will return to full screen.
3. Features During Meetings
3.1 Chat
- You can open the chat window during the meeting to send text messages.
- You can share files via chat.
3.2 Participant Management
- You can check the participant list.
- You can invite additional participants.
3.3 Raising Hands
- Raising HandsYou can express your intention to speak with the feature.
- You can lower your hand by clicking again.
3.4 Reaction
- You can express your feelings by sending emoji reactions.
4. Quality and Performance Optimization
4.1 Recommended Network Environment
- minimum: 1Mbps (voice call)
- Recommended: Above 5Mbps (HD video conferencing)
- optimal: Above 10Mbps (including screen sharing)
4.2 Performance Optimization Tips
- Close unnecessary background applications.
- Use a stable wired network connection.
- Please turn off the camera when not in use.
- Share only the necessary windows when sharing your screen.
5. Video Conference Policy
5.1 Check Administrator Settings
The video conferencing feature must be enabled by the administrator in SHIELD Gate to be used.
- When the policy is not set: Participation in or starting a video conference may be restricted.
- Policy CheckCheck with the administrator whether to enable the video conferencing policy.
5.2 Conditional Policies
Administrators can apply the following conditional policies:
- Only specific user groups can use video conferencing
- Allow video conferencing only during specific time zones
- Screen Sharing Feature Limitations
6. Problem Solving
6.1 Video Conferencing Function Not Working

- PIP button is not displayed: Check to ensure PIP feature is enabled in browser settings
- PIP window disappears: Go back to the meeting screen and restart PIP.

Q. Is the data safe during video conferencing?
- A. Yes, it runs in the RBI environment, so the video conferencing data is not stored on the local PC. All communications are encrypted during transmission.
Q. How many people can participate in a video conference at most?
- A. Follows the default limits of Microsoft Teams. Generally, up to 1,000 participants can join.
Q. Can I record the meeting?
- A. You can use the basic recording feature of Teams. However, it may be restricted based on administrator policies.
Q. Can I share only a specific window during screen sharing?
- A. Yes, you can choose to share the entire screen, a specific application window, or a browser tab.
Q. Can I use a virtual background?
- A. You can use all the basic virtual backgrounds and background effects in Teams.
Q. Can external participants join the meeting?
- A. Yes, the guest invitation feature in Teams allows external participants to join the meeting.
